You can easily find out when your documents were mailed. Just log in to your personalized DocuSend Dashboard. If the information about your documents appears there, it means they were successfully processed and sent to the USPS. All documents are printed and mailed within two business days. In your report portal, you can also check the delivery status of your mail. DocuSend provides a tracking service at no charge for all users, so you can verify the date your mail pieces entered the USPS postal stream and track them by the zip codes of the postal facilities they were scanned at along the way, up to the final one. Our mail tracking service is available for both First Class and Marketing mail. The only exception to this is oversized documents.
Yes, you can include a generic letter-size flyer, announcement, advertisement, coupon or notice in your DocuSend mailing. Upload your preaddressed PDF file to DocuSend. In the Job Specifications section, you will see the “Add an Insert" button. Click on it and attach the file you want to mail as a flyer (supported file formats: PDF, PNG, JPEG, JPG). Your document will be inserted as the last page(s) in each envelope within your upload.
You can add generic letter-size flyers, announcements, advertisements, coupons, or notices to your DocuSend Mailings. Click on the green Upload a PDF Insert button in the package options section. Your insert can be printed in black or color on 8.5" x 11" paper, and it gets placed as the last page in each envelope. PDF insert pricing starts at $0.13/page black or $0.22/color. Pricing is based on ink coverage. You can easily select the needed ink option from the drop-down menu. If you send more than 8 sheets per envelope, an additional fee applies, as this is oversized mail. It is also possible to select a two-sided option for your inserts to reduce costs. With this option selected, uploaded inserts will be printed on both sides of the sheet of paper.
Today’s technology allows DocuSend to electronically verify all USPS transactions. As soon as DocuSend receives your files, they start through the address verification/certification process (appending Intelligent Mail barcodes and a Unique ID number).We also provide NCOA (National Change of Address) update service at no extra charge. Our software compares your list of mailing addresses to the nationwide database of individuals and businesses that have moved or changed their mailing addresses within the United States and identifies if an update is needed, then automatically makes those changes and notifies you of them in your report portal. This helps you keep your mailing lists up to date and accurate.
Once addresses are checked, verified, and cleaned up, they are comingled into what we call a unique Mail Stream. A Mail Stream contains a group of addresses that make up an individual mailing. The unique Mail Stream is electronically sorted by USPS Delivery Zones, Distribution Centers, and Delivery Postal Units.
All relevant information regarding the Mail Stream is uploaded to USPS verification units. This information also populates a DocuSend/USPS dashboard, which is monitored to track transactions and USPS clearance of deposited mail. Once the DocuSend Mail Stream is physically produced (printed, folded, inserted, and delivered to the post office), documentation unique to the Mail Stream is matched to the physical mail. The mail is transported to the USPS Verification Unit, matched against the electronic upload, and released. This action clears the pending list of uploaded scheduled mailings as well as creates a record of completion. The whole process of verification of acceptance and clearance to distribution occurs incredibly quickly.

The foreign country's name must be on the last line of the address, be correctly spelled, and must not be abbreviated. Consult this USPS page for the proper spelling of the country name.
Absolutely! By using DocuSend to mail your invoices and letters from foreign countries, you’ll save significant time and costs. Other international mailing services can take two to three weeks to be delivered because, as a requirement for delivery within US borders, mail is subject to inspection by the US Customs and Border Protection before being sent to a USPS sorting facility. Using DocuSend means your mail is printed and mailed inside the USA, and thereby delivered faster and more cost efficiently.
Yes! DocuSend can be used to send mail to foreign countries. You must have a valid foreign address that includes no more than 5 lines. The proper format is:
  • - Addressee's name
  • - Street address or P.O. box number
  • - City, province, state, or county, and postal code.
  • - Foreign Country name
Please be sure that the last line of the address is the correct, unabbreviated country name. To be sure the country name is spelled correctly, consult this page. Foreign mail is limited to one ounce or 4 sheets of paper; but selecting the Duplex printing feature allows you to mail 8 pages (including the cover page), which will be printed on both sides of the sheet of paper.
Documents are out the door within two business days from the time you upload your file, approve it, select your payment method, and pay. However, if you require next day delivery to the USPS, select the "Guaranteed Next Day Mail" option in the Job Specifications section. Select "Yes," and for an additional cost of $0.04 per envelope, your document will be delivered to the post office the next business day.
No, we don’t deliver mail to the USPS on weekends. Documents are processed and mailed Monday through Friday, except on postal holidays.
To control your mailing dates, manage the timing of when you upload your files to the DocuSend portal. Upload your file two business days before the day you want the documents to be mailed, or, for expedited delivery to the USPS, upload the file one day prior and choose the “Guaranteed Next Day Mail” option. Remember that documents uploaded on Friday and on weekends will be processed at the beginning of the following week. The documents are not processed during the postal holidays.
While DocuSend’s standard options include printing in black or color on white paper and insertion into white window envelopes, if you would like a different color or type of paper and/or envelopes, we encourage you to contact DocuSend customer support, and we'd be happy to provide you a quote for a customized package tailored to your preferences.
Go to your Image Bank, enter the customer’s name and click View Documents. Select and open the statement from the list. You'll see a button to print the image. From there you can print to a local printer, save it as a PDF, e-mail it to the addressee or opt to send it again through the mail.
Certainly! DocuSend can place up to 65 sheets of paper in one envelope. And if you choose the Two-Sided-Printing option, you can send up to 130 pages, because the document will be printed is on both sides of the paper. DocuSend’s advanced system is designed to detect the additional pages in a large PDF document, as long as each page is for the same customer at the same address and the pages are in sequential order. A state-of-the-art inserter is programmed to place the correct pages into the corresponding envelopes, eliminating human error. We know how important it is to you that your clients receive correctly collated documents, and our processes are optimized to meet that expectation.
Once they've been processed and delivered to the USPS, your documents are posted to the portal. For First Class and Marketing mail, you can track the delivery status in your portal with our free Mail Trail service. Oversized documents are not tracked.
